Credit Notes

Because the system enforces strict accounting laws, you cannot simply delete an invoice once it has been legally issued to a client. Instead, you must reverse it using a Credit Note.

1. Issuing a Credit Note (Create)

If you realize an issued invoice has a mistake (e.g., you charged them for a farrier visit that never happened), you must generate a Credit Note.

  1. Open the incorrect invoice.
  2. Click Create Credit Note.
  3. The system automates the rest. It generates a brand new document that exactly mirrors the original charges, but as negative amounts.
  4. It assigns a new legal number to this Credit Note document and automatically marks the original invoice as void.

2. Viewing Credit Notes (Read)

You can view Credit Notes in your invoicing dashboard alongside regular invoices. They will clearly display negative totals, helping your accountant see exactly when and why money was refunded or reversed.

3. Changing a Credit Note (Update)

Not Allowed. Because a Credit Note is a strict legal document used to fix past accounting mistakes, the system locks it immediately upon creation. You cannot edit the amounts or descriptions on a Credit Note.

4. Removing a Credit Note (Delete)

Not Allowed. Just like issued invoices, you cannot delete a Credit Note once the system assigns it a legal number. It remains permanently in the system to ensure your stable's accounting history is gap-free and fully auditable.

(Current Limitation: Partial credit notes—like refunding just one item on an invoice instead of the whole invoice—are not yet natively supported in a single click. You must void the entire invoice and issue a new, corrected one, or add a negative manual charge to their next month's ledger.)
