Horse Planning Overview

πŸ“ Find this in the app: Admin Panel β†’ Stables β†’ Horse Planning, and Staff Panel β†’ Planning (/admin/stables/horse-planning, /staff/planning)

Horse Planning is for riding schools that use their own school horses for lessons. It answers the question every riding school asks every morning: which horses can I use today, who's using them, and is anyone overworked?

It's a paid add-on feature and only appears once it's turned on for your stable β€” ask us if you'd like it enabled. It also requires the Lessons feature, since horses are assigned to lessons on the schedule.

Who uses it

AccountWhat they can do
AdminEverything below, plus the welfare rules (how often a horse may be used)
StaffPlan the week, manage school horses and their service status, log care, plan vet/farrier visits, run the hours report
InstructorA dedicated login for teachers β€” see Instructor Accounts

What it replaces

If you're currently keeping a printed Excel sheet in the tack room with a row per horse and a column per day, this is that sheet, online:

  • The weekly board β€” every school horse, every day of the week, with which lessons used it.
  • Service status β€” take a horse out of service (lame, waiting for the farrier, resting) and back in, with a reason.
  • Jump permission β€” mark which horses are allowed to jump, so nobody accidentally puts a green horse over fences.
  • Remarks β€” a running note per horse ("stirrup leather torn") that stays visible until someone resolves it, not just for one lesson.
  • Vet & farrier visits β€” a planned list of who's due, so the round is ready when the professional arrives.
  • Welfare rules β€” limits like "max 2 lessons a day" or "at least one rest day a week", set once by the stable owner. The system warns when a rule would be broken rather than blocking the lesson outright β€” sometimes a horse has to step in at the last minute β€” but it asks for a short reason and the owner sees every override.
  • Hours report β€” a printable or downloadable summary of how many hours each horse worked, split by discipline, over any date range.

Where to find each part

The Planning area is split into tabs, both for staff (/staff/planning) and β€” narrowed to their own lessons β€” for instructors:
