Instructor Accounts

πŸ“ Find this in the app: Admin Panel β†’ Stables β†’ Members β†’ Add/Edit Member (role), and the instructor's own login at /instructor

Instructors are a separate account type from staff and admin, built for freelance and employed teachers who need their own lesson schedule but shouldn't see member data, billing, or the rest of the stable's operations.

Creating an Instructor Account

When Lessons is enabled, the Instructor role becomes available in the member form's role dropdown (alongside Member and Staff). Give the instructor their own login the same way you'd add any member.

Once an instructor account exists, you can link it to a lesson: when creating or editing a lesson under Lessons, pick the instructor's account from the Instructor account dropdown. This is separate from the free-text instructor name/email fields, which still work for instructors who don't have their own login β€” linking the account is what makes the lesson show up on that instructor's own dashboard.

What an Instructor Sees

Logging in as an instructor goes straight to /instructor β€” there is no admin or staff menu around it. It has three parts:

  1. My lessons β€” a "next lesson" card and an upcoming agenda, built from the lessons linked to that instructor's account.
  2. My week (only when Horse Planning is enabled) β€” the same weekly board staff use, but narrowed to that instructor's own lessons. They can assign or unassign a horse, mark a lesson done, and record a welfare-rule override reason exactly like staff can.
  3. Care (only when Horse Planning is enabled) β€” the same care log as the staff Care tab, so an instructor can log a turnout or note a remark on a horse they just used.

What an Instructor Cannot Do

An instructor's access is intentionally narrow:

  • They only ever see their own lessons and rosters β€” never another instructor's lesson or that instructor's students.
  • They can see the stable-wide horse board (service status, jump permission, existing remarks, and how much work a horse already has that week from other instructors' lessons) β€” this is deliberate, so putting a horse on their own lesson is a safe decision, not a guess.
  • They cannot add or remove school horses, change a horse's service status or jump permission, change the welfare rules, plan vet/farrier visits, or see anything about members, invoices, or the stable's finances.

Why This Matters for Freelance Instructors

Because the instructor role has no visibility into billing or member details, it's safe to give a login to a freelancer who only teaches a few hours a week β€” they get exactly the schedule and horse-planning tools they need, and nothing else.
