Managing School Horses & the Weekly Board
π Find this in the app: Staff Panel β Planning (
/staff/planning)
1. Adding a School Horseβ
Go to the School horses tab and add a horse from your already-stabled horses. Once added, you can set:
- Status β Available, Out of service, or Light work. Taking a horse out of service (lame, waiting for the farrier, resting) removes it from the assignable list on the week board until it's put back in service; you can leave a reason and an expected return date.
- Jump permission β whether the horse is allowed in jumping lessons. Assigning a horse without jump permission to a jumping lesson shows a warning β like the welfare rules, it never blocks: whoever is planning can still assign the horse by giving a reason.
- Remarks β an open note ("stirrup leather torn"), filed in a category (Tack, Health, Behaviour, Other). A remark stays visible on the week board under that horse's row until a staff member or admin resolves it β it doesn't disappear after the lesson where it was noticed.
2. Creating Weekly Lessonsβ
The Lessons tab is where you set up which lessons use school horses, and who teaches them. Creating one here works the same as an ordinary lesson (see Creating & Managing Lessons) β the difference is simply that its horses get planned on the Horse Planning board.
3. The Weekly Boardβ
The Week tab shows the board: pick a day, see that day's lessons, and assign horses to each one. Assigning a horse takes one tap per horse. If assigning a horse would break one of the stable's welfare rules (see below), you'll see a warning and be asked for a short reason before it's saved β the assignment still goes through, it's simply logged for the owner to review.
From the board you can also:
- Mark a lesson done, or undo that.
- Remove a horse from a lesson.
- Print the board for the day or week β useful as a backup if the Wi-Fi drops, or to post a paper copy in the tack room.
4. Welfare Rulesβ
Admins set stable-wide limits under Admin Panel β Stables β Horse Planning:
- Max lessons per horse per day (and a separate, usually higher, limit for camp/course days)
- Max jumping lessons per horse per week
- Minimum rest days per week (days with no lesson at all)
These rules warn, they never block. If a horse genuinely needs to step in beyond its usual limit, whoever is planning can still assign it β they just need to give a reason. Every accepted warning is visible to the stable owner, so the actual pattern of exceptions is never hidden.
5. Vet & Farrier Visitsβ
The Vet & farrier tab is a planning list, not a history log: add an upcoming visit, list which horses need to be seen (horses flagged as due for a farrier or vaccination appointment are suggested automatically), and tick each one off as the visit happens. Completing a visit updates that horse's own farrier/vaccination records automatically.
6. Care Loggingβ
The Care tab is the same touch-friendly care log staff already use for boarded horses (turnout, farrier, vaccination, deworming records) β narrowed to just your school horses, so the tack-room tablet doesn't need to page through the whole barn.
7. Hours Reportβ
The Hours tab produces a report of how many hours each school horse worked, split by lesson discipline, for a date range you choose (or a quick preset β this month, last month, this year). It includes the horse's age and can be printed or downloaded as a spreadsheet-ready CSV file. It's capped at 50 horses per report, and it counts every lesson a horse was assigned to in that window, whether or not anyone remembered to tick it "done" β so it never under-counts your busiest horses.
