Creating & Managing Lessons (Admin)
1. Creating a Lesson
Go to Events → Lessons and click Add Lesson.
Fields you will fill out:
- Title: A short name for the lesson (e.g., "Wednesday Dressage Group").
- Discipline: The riding discipline — Dressage, Showjumping, Eventing, or General.
- Date & Time: The exact start date and time of this occurrence.
- Duration: How long the lesson lasts (in minutes).
- Max Riders: The maximum number of members who can book this slot. Once full, the booking button is disabled for other members.
- Price: The credit cost per booking (usually 1 credit per lesson).
- Instructor: The name of the teacher or trainer leading the session.
- Notes: Any extra information members should know (e.g., "Bring your own helmet", "Outdoor arena 2").
Click Save to publish the lesson. It immediately appears on the member Lessons calendar.
2. Viewing the Roster
Click on any lesson to open its roster — a list of all members who have booked a spot, together with their attendance status:
| Status | Meaning |
|---|---|
| Booked | Member has confirmed their spot |
| Attended | Admin marked them as present |
| No-show | Admin marked them as absent without cancelling |
| Late cancel | Member cancelled after the allowed window |
The roster looks back 4 weeks so you can mark attendance on past lessons without losing historical data.
3. Removing a Member from a Lesson
From the roster, click Remove next to a member's name. This routes through the cancellation flow:
- If the lesson is still in the future and within the cancellation window, the credit is refunded to the member's card.
- If outside the window (or if you remove them after the lesson has started), no refund is issued.
4. Marking Attendance
After a lesson's start time has passed, the roster shows Attended and No-show buttons for each booked member.
- Attended — confirms the member was present. No change to their credit balance.
- No-show — records that the member did not appear and did not cancel. The original credit deduction stands; a no-show marker is appended to their credit ledger.
Attendance can be marked more than once if you need to correct a mistake — the last status wins, and the credit ledger is never mutated retroactively.
5. Deleting a Lesson
If a lesson must be cancelled entirely, delete it from the admin panel. Members who had booked are not automatically refunded — you will need to remove each member from the roster first (which triggers individual refunds) before deleting the lesson.
